Agent Guide: A-State Application Checklist and Document Standards
With Fall 2026 already underway and application windows now open for Spring 2027 (deadline 1 November 2026), Summer 2027 (2 March 2027) and the upcoming Fall 2027 cycle, this is a good time for agent teams to review document standards before submitting new student files to Arkansas State University. Following this checklist consistently reduces requests for additional information from International Admissions and keeps I-20 issuance on schedule.
Core application package
Before a file goes to International Admissions through the Vietnam Office, it should include:
- A completed online application and the $50 application fee (non-refundable).
- Official academic transcripts covering the full period of study, issued or stamped by the school or university.
- Proof of English proficiency — an accepted test score, or documentation that the student will enter through the English Language Academy (ELA) pathway instead of a score.
- A clear copy of the student's passport bio page.
- Financial documentation showing the student or sponsor can cover costs. The exact amount and format required for the I-20 is confirmed by the Vietnam Office case by case, so check with study@astate.edu.vn before assembling this section.
- For transfer applicants: any prior I-20 and transcripts from all institutions attended, not only the most recent one.

Score and GPA minimums
Confirm which threshold applies before advising a family — undergraduate and graduate minimums differ, and a student below the English threshold can still be admitted through ELA rather than turned away.

Students below the English minimum do not need to retest before applying — the ELA route (6 levels, CEA-accredited, 11:1 ratio) leads directly into degree studies without a separate TOEFL/IELTS submission once completed. Translation and notarization standards
Most rejected or delayed documents fail on translation quality rather than content. Standards to enforce before submission:
- Transcripts and diplomas must be translated in full — no summarized or reformatted versions — by a certified translator or the issuing institution.
- Translations must be notarized or carry an official stamp matching the original issuer's seal.
- Name, date of birth, and school details must match exactly across passport, transcript, and translation; even minor spelling discrepancies trigger manual review.
- Students should not self-translate their own documents; International Admissions will flag these files for re-submission.
Common reasons files get delayed
- Partial transcripts (missing a semester or year) instead of the complete academic record.
- An English test score submitted with no ELA backup discussed, when the score is likely to fall short.
- Financial documents that do not clearly show the sponsor's relationship to the student or an unclear currency or amount.
- Passport name order or spelling that does not match earlier submitted documents.
- Files submitted in the final days before a deadline, leaving no time to correct a flagged item before the cutoff.
Building in at least two to three weeks of buffer before 1 November 2026 (Spring 2027) or 2 March 2027 (Summer 2027) gives enough room to fix a flagged document without missing the term.
